AI agents vs ChatGPT: what changes for a team

What changes when AI help is connected to your customer-acquisition work, accounts and team approvals.

If your team already uses ChatGPT, you know how useful it can be for writing and thinking through a problem. The question is what changes when that help is connected to the work of acquiring customers. The short answer: we build the channel, connect the accounts and put the important decisions in your team’s hands.

An AI agent is software given a job, the tools to do it and knowledge of your company. It can research leads, prepare messages, posts and ads, and show your team what needs a decision. Approved work then runs on the agreed schedule.

That definition sounds small. In practice it changes three things about how work gets done in a company of five or fifteen people.

Three differences you will feel in the first week

It acts

In the thelooma platform, the agents work with the accounts needed for the chosen channel, such as your inbox, social accounts or ad account. The sales agent researches a company account, assesses the available contact routes and prepares one individual message. A person reviews every first approach and decides whether and how to make contact.

The same goes for the rest. A post gets published, not just written. An ad set gets built inside Meta, not described in a chat window. A landing page goes live at a real address.

This is the difference between a tool that saves you typing and a tool that takes a job off your plate. The first one still needs you every day. The second one needs you at the approval step and then when a customer replies.

It remembers

In ad hoc chats, your team may use different instructions and versions of your offer. That can produce work that sounds inconsistent unless someone keeps the shared context up to date.

An agent runs on one shared memory: your offer, your best customers, the objections you hear, your tone, the words you never use, and who signs off on what. We build that memory in the first four days of a project, before anything is published. Every agent reads from it. The outreach sounds like the posts, the posts sound like the ads, and all of it sounds like you.

The memory also grows. When a lead replies and you say “we do not serve that industry”, the agent stops finding that industry. When you edit a post three times to make it shorter, the next one comes in shorter.

It is visible

This is easy to underrate until you have it. A draft in a chat does not by itself show what was sent, published or spent across your marketing accounts. The team needs a shared view of the actual work.

The platform reports into one dashboard. Work shows its status: drafted, waiting for you, sent, published or running. Important actions wait for your approval before they go out. Notifications in Slack can be set up with you on request, but the dashboard remains the record.

That visibility is what makes it safe to hand work over. You are not trusting a black box. You are reading a log.

Where ChatGPT is still the right tool

We use ChatGPT and similar tools every day, and so should you. They are the right choice for:

  • One-off writing: a proposal, a difficult email, a job ad.
  • Thinking out loud: “what are the risks of this pricing change?”
  • Quick questions and summaries of long documents.
  • Learning a topic fast before a meeting.

None of that needs accounts connected or a memory of your company. A chat window is exactly right for it. If someone tells you to replace ChatGPT with an agent for this kind of work, they are selling you the wrong thing.

Where a chat alone is not enough

The problems start when the work repeats. Outreach has to go out every week. Social media has to stay alive whether or not you had time. Ads need checking. Videos need cutting. This is where a chat tool quietly breaks down.

Someone still has to turn each draft into a scheduled task. If that person gets busy, the work can stop.

Shared context takes work to maintain. Without it, team members can end up using different prompts and versions of the brand.

The outputs live in the wrong place. Text in a chat is not a sent email, a scheduled post or a running campaign. Someone still has to move it, and that someone is usually you.

Connections vary by tool and setup. The question is whether your actual CRM, inbox, social and ad accounts are connected to the workflow you are buying, and whether your team can see the result in one place.

Every one of those gaps is a job. In a busy team, they can easily fall between roles, which is how “we use AI” turns into “we tried AI for a month”.

Four questions to ask before you buy anything called AI

The word “agent” is on a lot of products now. Before you pay for one, ask the seller these questions and listen for straight answers.

  1. Does it do the work, or does it draft the work? “It prepares everything for you to send” means you are still the one sending.
  2. Where do I approve? If the answer is “it just runs”, that is a risk. If the answer is “you approve in a queue, and you can set what needs approval”, that is a system.
  3. What does it remember, and who can see that memory? One shared memory of the company is the whole point. Per-user memory is just a nicer ChatGPT.
  4. What happens when I stop paying attention for two weeks? The honest answer for an agent is: the queued work waits for your approval, the running work keeps running, and you can see both when you come back. The honest answer for a chat tool is: nothing happens.

If you get clear answers to all four, you are looking at an agent. If you get a demo instead, you are looking at a chatbot.

How our five agents fit the definition

We built five agents that each own one job. The account-first Sales Agent connects company research, contact routes, conversations and offer drafts. The social agent keeps your channels alive every week. The ads agent plans, designs and runs campaigns on Meta. The video agent cuts recordings into short clips. The landing page agent builds and publishes pages from a short brief.

They share knowledge of your company and report into one dashboard. Your team approves important actions before they go out. We set them up for you, and your setup is live in 14 days on a published timeline. If you want to see how one of them works in detail, start with what an AI sales agent actually does.

What to do this week

  • Write down the three jobs in your company that repeat every week and are nobody’s clear responsibility. Those are agent jobs.
  • Keep ChatGPT for one-off writing and thinking. Do not try to make it run a weekly process.
  • Open the chat history of whoever “does AI” in your company and count how much of it never became a sent email, a post or a page.
  • Write a one-page description of your company, offer, best customers and tone. Whatever you buy next needs it.
  • Ask any AI vendor the four questions above and note which ones they dodge.

If you want a second opinion on which of those repeating jobs to hand over first, book the free 30-minute teardown. You leave with a written one-page plan: how the agents fit your business, what the setup includes, and what it costs.

Questions people ask

What is an AI agent, in plain words?

An AI agent is software given a job, the tools to do it and knowledge of your company. It prepares the work and reports back. In the thelooma platform, important actions wait for your team's approval before they go out.

Why use thelooma if we already have ChatGPT?

ChatGPT can still be useful. We build a customer-acquisition channel around your business, connect the real accounts and put the work and approvals in one dashboard. Your team does not have to assemble that operation alone.

Do I still need ChatGPT if I have AI agents?

You can keep using ChatGPT for one-off writing and questions. The agents prepare repeated work such as outreach, content and ads; your team reviews important actions before they go out.
